Plexal Project Delivery System
PLEXSYS is a highly accessible web-based application that can be used across multiple company and client offices. It streamlines project operations and controls for employees and contractors, and offers a high degree of project visibility to clients. It can handle multiple locations and currencies, generate client and inter-office invoices, and process purchase orders and expense claims, all in the one integrated system.
It’s comprised of four modules:
Project Controls: provides real-time project reporting, including: periodic status reports, “S” curve analysis, Progress v Cost, CTR Detail and Summary, Earned Value Analysis, and Cost Forecasting at various levels from CTR to Corporate. Authorised Clients have access to real-time cost, schedule, and budget performance indicators for quick analysis of overall project status.
Timewriter: manages resource hours for every project, activity, classification, and day of week. Provides the facility for managers and clients to approve, reject and/or comment on booked hours. It can also track rate schedules as they change with time. Approved time is automatically sent to the Project Controls module for real-time status updates.
Cost Estimation: an evidence-based cost estimating tool that helps estimators to establish the likely cost of a project to a high level of certainty. It can predict the Deliverables, Labour, and Non-Labour elements of a project based on time-perfected Norms, which can then be manipulated by the estimator. The outcome is a fully valued project which can be passed straight to Project Controls for execution and transparent tracking.
Procurement: is a tool for generating material requirements and turning them into a Bill of Materials (BOM). The BOM can then be automatically converted into a Material Requisition for the client, or a Purchase Order for purchasing. It handles tracking and expediting, BOM change management, and preferred supplier lists. An automated email notification system lets users know of any required action so project delays can be avoided.
ISO9001:2000 Quality Management Systems
Prescriptive company wide processes and procedures for projects can impede the introduction of smarter ways to deliver outcomes. The effort to introduce change can lead to reluctance and lost opportunities to improve the business.
Nevertheless, internal activities such as managing accounts and payroll require robust and stable processes and procedures.
Plexal Group has developed its Operation Manual recognising that every project has requirements that differ within and across Clients. Differences can include:
- Technical scope.
- Implementation methods.
- Client standards.
- Client preferred work processes and procedures.
- Contract terms and conditions.
In some instances, specific projects or internal one off activities may not warrant compliance to the Operations Manual. An example may be a small consulting project that only delivers a short report.
When determining the compliance requirements, the following questions are considered:
- Client preference?
- Risk to Plexal and Client if not compliant?
- Total value of project?
- Expected number of outputs?
- Duration of project?
Plexal Group also has in place a series of internal company wide procedures and policies such as OHSE, Accounts, Payroll, Training, Business Improvement, Grievances, Internal Procurement, Document Control, Backups/DRP, Travel and Evacuation.
Project Execution
For project delivery, the majority of the processes and procedures are encapsulated in the specific Project Execution Plan (PEP).
Our PEP template is customised and aligned to the particular project demands and Client expectations. Potential efficiencies can be readily captured and implemented for the project.
The PEP has the usual scope, schedule and other normal project activities. It can also include project specific procedures such as Change Control, Cost/Time/Resource Allocation and Reporting, Procurement, Implementation Management, Site OHSE, Inspections and Handover/Closeout.
For small projects, or where the Client has no particular preferences, our PEP template is pre-defined for immediate, cost effective implementation with supporting standard forms.
All our personnel are trained in applying the Operations Manual and PEP.
AS4801: Occupational, Health and Safety Management
Plexal Group treats HSE with equal importance to other business objectives. We identify and manage risk within the workplace and work practices, and will meet and attempt to exceed the requirements of applicable laws, regulations and standards.
We empower and encourage our personnel to drive improvements in HSE performance, and we provide relevant HSE training where appropriate. We record, follow-up and learn from incidents, near misses and hazard identification.
Our HSE Management Plan has been implemented to the requirements of AS4801 and is backed with over twenty year’s experience of working with industries who are leaders in this area.
In 2006, Plexal Group embarked on a HSE initiative with a Carbon Neutral program where we donate to Men of the Trees to plant trees to offset 100% of greenhouse emissions directly produced by our business. For more information please go to:

Industry Standards
Plexal continually updates its systems and processes with applicable codes and regulations such as RP14C, NEC, NFPA, AS1864, AS3000, AS2430 and BS EN IEC 60079.
We are registered with Australian Standard Online for automated updates of standards applicable to the services we provide our Clients.
Our management system meets industry and legislative requirements and is Quality Management Systems accredited to ISO9001:2000.
